Most transcription apps work the same way: they record your meeting, upload the audio to a server, and send the text back. That is fine for a team standup. It is a problem when the conversation is confidential, when your organisation forbids cloud tools, or simply when there is no signal in the room.
The good news is that phones are now fast enough to do the whole job themselves. Here is how to transcribe a meeting on Android with no internet connection at all.
What “offline transcription” actually means
An offline transcription app keeps the speech recognition model on your phone. The audio is turned into text by your phone’s own processor, so nothing has to be sent anywhere. The only time you need a connection is once, to download the model.
A quick way to check any app’s claim: turn on airplane mode and try it. If it still transcribes, it is genuinely offline.
Option 1: a recorder built into your phone
Some phones include this already. Google’s Recorder app on Pixel phones transcribes on the device, and newer Samsung Galaxy phones can transcribe in the Voice Recorder app when Galaxy AI is set to process data on the device only.
If you have one of those phones and only need a plain transcript, start there.
Option 2: Offline AI Meeting, on any Android phone

1. Download the model once, on Wi-Fi
Install the app and let it download the speech model during setup. This is the only step that needs internet. After it finishes, you can switch the connection off for good.
2. Turn on airplane mode (optional, but reassuring)
Nothing in the app needs a connection from here on, so airplane mode changes nothing about how it works. It just makes the privacy easy to see.
3. Record the meeting
Tap the microphone and put the phone down. The app records with the screen off, for as long as the meeting runs, and shows a notification the whole time so everyone knows it is recording. Tap Mark this moment when something important comes up, to find it again later.

4. Stop, and let the phone do the work
When you stop, transcription starts. It runs in the background, so you can lock the phone or use other apps. A long meeting takes a while on a phone, which is the trade-off for nothing leaving it.
5. Check who said what
With Pro, each line is labelled by speaker. If the app hears three people where there were four, use the plus and minus buttons to change the count. Tap a speaker’s name to rename them, and every line of theirs updates.
6. Get the notes
Pro can also write the notes on your phone: a summary, the decisions made, and the action items as a checklist. Choose the style that fits (meeting notes, by topic, a timeline, or lecture notes).
7. Share it, carefully
Export to PDF, Word, Markdown, subtitles, CSV or plain text. If the transcript mentions phone numbers, emails or names that shouldn’t travel, turn on redaction first; the copy on your phone stays untouched.
Tips for a more accurate transcript
- Put the phone in the middle of the table, screen up, away from laptop fans and coffee cups.
- Stick to one language where you can. A meeting that switches back and forth between languages transcribes less accurately than one held in a single language.
- Use an English-only model if every meeting you record is in English; it is more accurate at the same size.
- Try the High model for strong accents, crosstalk or a noisy room. It is slower, but the difference shows.
- Keep it to one conversation. Two discussions at once confuse any transcription system, online or off.
Why it is worth doing offline
Speed and cost used to be the reasons to use the cloud. For meetings, the bigger question now is where the conversation ends up. When the audio never leaves your phone, there is no server to be breached, no retention policy to read, and nothing to explain to a client who asks where their words went.
